Review response templates for auto dealers
Car buyers read dealership reviews with one question in mind: "will they play games with me?" Most negative dealer reviews are about exactly that - the price that moved, the finance office, the service bill. The response goal is always the same: sound like the one dealership that doesn't do the thing everyone fears.
The pricing / finance-office complaint
"The advertised price wasn't real" or "finance packed the payment with add-ons." Don't defend the structure - explain the number plainly and give the reviewer a named person above the salesperson.
Advertised-vs-final price complaint
Hi [CUSTOMER_NAME], thank you for the direct feedback. The difference between the advertised price and your final number should have been walked through line by line - [WHAT_IT_TYPICALLY_IS, e.g. "tax, title, doc fee, and the accessories on that unit"] - and if it wasn't, that's a failure on our floor. Send your deal number to [EMAIL] and I'll review the sheet with you personally. - [YOUR_NAME], [GM/SALES_MANAGER], [DEALERSHIP_NAME]
Finance add-on complaint
Hi [CUSTOMER_NAME], I've read your review and I want to look at your deal jacket myself. Optional products should be presented as optional - clearly, with prices - and most can be cancelled after signing with a prorated refund. Call me at [PHONE] or email [EMAIL] with your deal date, and if anything was added without a clear yes from you, we'll unwind it. - [YOUR_NAME], [ROLE]
The service-department dispute
Service writes more reviews than sales at most stores. Complaints center on surprise charges and repeat repairs - respond with the inspection/approval process and a service manager's name.
Surprise service-bill complaint
Hi [CUSTOMER_NAME], no repair should hit your invoice without your approval first - our process is [PROCESS, e.g. "a multi-point inspection, then an estimate you approve by text before work begins"]. If work on [DATE] skipped that step, I want to know and I'll make it right. Please call [SERVICE_MANAGER_NAME], our service manager, at [PHONE] with your RO number. - [DEALERSHIP_NAME]
Repeat-repair complaint
Hi [CUSTOMER_NAME], bringing a vehicle back [N] times for the same issue is exactly what a service department exists to prevent - I'm sorry. I've asked [SERVICE_MANAGER_NAME] to pull the repair history on your [VEHICLE] and take ownership of the diagnosis personally, at no charge for the re-inspection. Call [PHONE] and reference this review. - [YOUR_NAME], [ROLE]
The post-sale problem (often naming a salesperson)
The car developed a problem two weeks after purchase, and the review names the salesperson who "swore it was perfect." Own it as the store - don't hang the salesperson, and don't hide behind "as-is" in public.
Problem shortly after purchase
Hi [CUSTOMER_NAME], a [ISSUE] two weeks after purchase isn't the ownership experience we want anyone driving off with, whatever the paperwork says. Bring the vehicle in and we'll diagnose it at no charge, then talk options - [WHAT_MIGHT_APPLY, e.g. "warranty coverage, goodwill repair, or cost-sharing"] - with the diagnosis in front of us. Call [PHONE], ask for [YOUR_NAME], and reference this review.
Complaint naming a salesperson
Hi [CUSTOMER_NAME], thank you for the specifics. I've reviewed your deal and spoken with the team member involved - personnel follow-ups stay internal, but I take what you described seriously, and what happens on our floor is my responsibility either way. I'd like to resolve the [UNDERLYING_ISSUE] itself: reach me at [EMAIL] or [PHONE]. - [YOUR_NAME], [GM], [DEALERSHIP_NAME]
