Responding to reviews months (or years) late
You just found a one-star review from fourteen months ago. The reviewer has moved on; the algorithm hasn't. Old unanswered negatives keep working against you - they're often among the first things a new customer reads, and an abandoned review page signals an owner who stopped paying attention. So yes, respond, even years late. The audience for a late response was never really the original reviewer; it's every future reader who checks whether the business answers its critics.
Two rules make late responses land instead of flop. First, name the lateness - a reply that pretends fourteen months haven't passed reads as a bot sweep. One honest clause ("this response is long overdue") buys back most of the credibility the delay cost. Second, decide which kind of old complaint you're answering: one that's still relevant (the dish is still on the menu, the policy still stands) gets a present-tense answer, while one about something you've since fixed gets a dated correction - with the date, so readers can see the review predates the change.
The templates
Replace every [BRACKETED_PLACEHOLDER] with your specifics before posting - an unedited template is worse than no response.
The old negative you just found
Hi [CUSTOMER_NAME], this response is [TIME_PERIOD] overdue, and that's on us - we didn't have a good system for catching reviews back then, and yours slipped through. I'm sorry for both the original experience and the silence that followed. For what it's worth now: [WHAT_CHANGED_OR_CURRENT_STANDARD]. If you're ever willing to give [BUSINESS_NAME] another look, I'd like the chance to show you - reach me at [EMAIL], ask for [YOUR_NAME].
Clearing a backlog (a note you can adapt across many old reviews)
Hi [CUSTOMER_NAME], you'll notice we're replying to a number of older reviews this month - we fell behind on responses and we're making a point of answering every one rather than quietly skipping the old ones. On yours specifically: [ONE_SENTENCE_SPECIFIC_TO_THEIR_REVIEW]. Thank you for taking the time to write it, even if our reply took far too long. - [YOUR_NAME], [ROLE], [BUSINESS_NAME] [Adapt the second paragraph per review - a batch of identical replies is worse than no replies.]
Old complaint that's still relevant (the issue still exists)
Hi [CUSTOMER_NAME], a late reply, but an honest one: the [ISSUE, e.g. "weekend wait times"] you described is something we still work at, and I won't pretend it's fully solved. Here's where it stands today: [CURRENT_STATE_AND_WHAT_YOU_DO_ABOUT_IT, e.g. "we've added a Saturday opener and post live wait estimates"]. If you gave up on us over this, that's fair. If you're open to trying again, [PRACTICAL_TIP, e.g. "weekday mornings are a different experience"] - and I'm at [EMAIL] if you want to hold me to it. - [YOUR_NAME]
Old complaint about a policy you've since changed
Hi [CUSTOMER_NAME], replying late so that anyone reading this review today has the current picture: the [POLICY, e.g. "no-refund policy"] you ran into was real at the time, and your frustration was fair. As of [MONTH_YEAR], it's changed - [NEW_POLICY_IN_ONE_SENTENCE]. Your review was part of why. I'm sorry it cost you a bad experience to get us there, and if there's something we can still make right, I'm at [EMAIL]. - [YOUR_NAME], [ROLE]
Do
- Acknowledge the delay explicitly and briefly - one clause, no self-flagellation.
- Date your fixes ("as of March 2026") so future readers can see the review predates the change.
- Personalize every response in a backlog sweep with at least one detail from that specific review.
- Start with the most-read old reviews: the ones surfaced first on your profile, not the oldest.
Don't
- Don't respond to a year-old review as if it were posted yesterday - pretending no time passed reads as automated.
- Don't paste one identical apology under thirty old reviews in an afternoon; readers see the pattern in seconds.
- Don't claim a problem is fixed unless it is - a follow-up review calling out a false "we've fixed this" is worse than the original.
- Don't ask a long-gone reviewer to update or remove their review; earn the correction with the response itself.
