Tripadvisor Management Response templates
Tripadvisor is the one major platform that moderates your reply before it goes up. A Management Response is checked against a published guideline set and can be held or rejected: no speculation about who the reviewer is, no personal information, no bullet lists, no copied text, nothing aimed at Tripadvisor itself. The upside is that the reply, once posted, sits under the review for every traveller comparing you with the place down the road, and Tripadvisor's own 2019 study found 77% of travellers were more likely to book when owners respond to reviews.
Write every response as if you were introducing the property to the next guest rather than closing an argument with the last one. That is Tripadvisor's own advice, and it fits the moderation rules: first-hand, on topic, no identities, one response per review. The pricing review gets its own template because “overpriced” is the most common complaint that is really about expectations, and the reply has to reset them without turning into a rate card. Our templates keep phone numbers and email addresses out of the body, since the guidelines ban personal information and off-topic content; invite the guest to contact the property and ask for you by name instead.
Tripadvisor platform notes
Checked 2026-10-20 against search excerpts of Tripadvisor's Management Responses Guidelines; the page itself was not readable from our build environment, so confirm the wording there before relying on an edge case.
- One Management Response per review, written from the first-hand experience of management or staff, and reviewed by Tripadvisor before it is posted. Tripadvisor's own advice is to write as though introducing the business to future guests. Source: Tripadvisor: Management Responses Guidelines
- Banned content: profanity, threats, prejudiced comments, hate speech and other non-family-friendly content; responses directed at Tripadvisor staff or commenting on Tripadvisor policies; and content irrelevant to the review being answered. Source: Tripadvisor: Management Responses Guidelines
- Privacy: no speculation about the reviewer's identity, and no personal information that could be used to identify an individual. Source: Tripadvisor: Management Responses Guidelines
- Format: no quoted material from other sources and nothing published elsewhere, no bullets or lists, and machine-translated responses that are unreadable are rejected. Source: Tripadvisor: Management Responses Guidelines
- Timing: a third-party publishing tool reports that most Management Responses are reviewed and posted within a few business days; the guideline excerpts we read do not promise a timeframe. Source: Yumpingo support: publishing a Tripadvisor response (third party)
- Character limit: none stated in the guideline excerpts we could read; the response form shows any cap when you reach it. Keep it to three or four short paragraphs regardless, since lists are banned and the reader is on a phone. Source: Tripadvisor: Management Responses Guidelines
- Why bother: Tripadvisor's 2019 study found 77% of travellers were more likely to book when business owners respond to reviews. Source: Tripadvisor press release, 2019-12-12
The templates
Replace every [BRACKETED_PLACEHOLDER] with your specifics before posting - an unedited template is worse than no response.
Positive review from a recent guest
Thank you for this, [GUEST_NAME]. [THING_THEY_PRAISED, e.g. “The sunrise from the top-floor rooms”] is the part of [PROPERTY_NAME] we're proudest of, and [STAFF_FIRST_NAME] will be delighted to be mentioned. For your next visit, [ONE_INSIDER_TIP, e.g. “ask for the garden side in spring”], and let us know you're returning so we can take care of you. - [YOUR_NAME], [ROLE], [PROPERTY_NAME]
Negative review about a stay or meal that went wrong
Thank you for taking the time to write this, [GUEST_NAME]. I'm sorry that [SPECIFIC_ISSUE, e.g. “the air conditioning failed on your second night”] affected your stay; that is not the standard we work to at [PROPERTY_NAME], and I have looked into what happened. [BRIEF_CAUSE_AND_FIX, e.g. “The unit has since been replaced and we now check every room's system during turnover.”] I would welcome the chance to discuss this with you directly; please contact the property and ask for [YOUR_NAME] by name. I hope you will give us another opportunity to show you the stay we intended. - [YOUR_NAME], [ROLE]
Mixed review: loved the place, one real problem
Thank you, [GUEST_NAME], for a fair and detailed review. We're glad [THING_THEY_PRAISED] made the trip, and you're right about [SPECIFIC_ISSUE]. Since your visit, [CONCRETE_CHANGE, e.g. “breakfast service now opens at 6:30 for early departures”]. The rest of the experience you described is exactly what we aim for every day, and I hope the fix earns the missing star next time. - [YOUR_NAME], [ROLE], [PROPERTY_NAME]
Review that mentions pricing (“overpriced for what it is”)
Thank you for the feedback, [GUEST_NAME]. Value is a fair thing to judge a stay on, and I'm sorry this one didn't feel worth it. For context for future guests: our rates include [WHAT_IS_INCLUDED, e.g. “breakfast, parking and late checkout”], and they move with the season, so [PERIOD, e.g. “festival week”] is our highest of the year. Where we fell short of that price was [SPECIFIC_ISSUE_IF_ANY], and [ACTION_TAKEN]. If you plan another visit, contact the property directly before booking and we will help you find the dates and room type that fit what you're looking for. - [YOUR_NAME], [ROLE], [PROPERTY_NAME]
Review you can't match to any stay or booking
Thank you for your review. We have checked our reservation and dining records carefully and cannot find a visit that matches the details described here, and some of them do not correspond to [PROPERTY_NAME] as it operates ([ONE_FACTUAL_POINT, e.g. “we have no rooftop bar”]). It is possible this was intended for a different property. If you did stay or dine with us, please contact the property directly and ask for [YOUR_NAME] so that we can look into your experience properly. We respond to every genuine concern. - [YOUR_NAME], [ROLE]
Do
- Write for the next guest: Tripadvisor's own advice is to respond as if introducing the property to future travellers.
- Keep it first-hand and original; the guidelines reject copied text, material published elsewhere, and bullet lists.
- Get it right the first time: one Management Response per review, moderated before it posts, and typically live within a few business days.
- Reset expectations on pricing reviews with what is included and when rates peak, not with a defence of the number.
Don't
- Don't speculate about who wrote the review or include anything that could identify them; both are grounds for rejection.
- Don't mention Tripadvisor, its policies or its staff in the reply; raise that with Tripadvisor's owner support instead.
- Don't pad the response with content unrelated to the review in front of you; off-topic responses are rejected.
- Don't post machine-translated English you haven't read; unreadable translations are rejected.
